Introducing VANILLA: Our COVID-19 Vaccine Appointment Solution

We are excited to announce our latest service: VANILLA, a COVID-19 Vaccination Appointment System. COVID-19 created many challenges this past year, including problems arising with vaccine distribution. VANILLA is here as an appointment, notification, reporting, and management solution.

This user-friendly and intuitive system allows vaccine providers to create online clinic sign-ups, define automated email and text message reminders for registrants, and easily track and update patient appointment details. The system is powered by our easy-to-use Mint Chip Lab platform.

Step by Step

Clinic Parameters & Communications

Choose your upcoming clinics with location details and times. Set a limit for how many appointments your clinic plans to accommodate per hour or per day. Upload paperwork for registrants to complete in advance. Make clinics private or public to control who can access them and sign up. Customize automated communications for registrants, including appointment instructions.

Resident Sign Up

Share your private or public clinic sign-up URL for residents to register for an appointment. They'll be able to choose from the times and locations you've specified.

Appointment Confirmation & Reminders

After registering for an appointment, registrants will begin receiving your customized communications confirming and reminding them of their appointment. Registrants will receive a unique QR code and ID. The QR code makes clinic check-ins quick and efficient.

Manage Appointment Details

Clinic staff can track receipt of registrants' paperwork, which vaccine they received, and update registrant information in Mint Chip Lab. A dashboard view gives staff an at-a-glance update of the number of appointments scheduled, follow-up appointments needed, how many registrants received which vaccine, and more.

Automated Communications

Providers can customize email and text messages for each step of the vaccination process:

Confirm registrant appointments
Reminders leading up to an appointment
Confirm next steps following an appointment
Reminders to schedule a second appointment

A Spanish translation option for communications is available.
